Email Marketing Tool for Small Businesses in India: What to Look For

Choosing an email marketing tool for an Indian small business? The features that matter, deliverability basics, rupee billing and the questions to ask first.

Every small business reaches the point where it wants to email its customers: a Diwali offer, a new product, a monthly update, a reminder that you’re still around. And sooner or later someone tries doing it from Gmail with 300 addresses in the BCC field. It goes badly. Emails land in spam, people can’t unsubscribe, and the Gmail account gets restricted.

An email marketing tool solves that. The trouble is that there are dozens of them, priced in different ways, and many are built with American businesses in mind. Below we look at what an Indian small business should look for, the questions to ask before you pay, and the mistakes to avoid. If you’re brand new to email, read our email marketing for beginners guide first. This one is about choosing the tool.

What an email marketing tool does that Gmail can’t

Your personal inbox is built for one-to-one conversation. An email marketing tool is built for sending the same message to many people who asked to hear from you. It looks after:

  • Your list: storing contacts, importing them from a spreadsheet, and recording who subscribed and how.
  • Sign-up and unsubscribe: forms to join, and a working unsubscribe link in every email, handled automatically.
  • Design: templates that look right on phones as well as laptops.
  • Sending at scale: delivering thousands of emails through infrastructure that inbox providers trust.
  • Tracking: who opened, who clicked, and which campaign led to a sale.
  • Automation: emails that send themselves, such as a welcome series or a follow-up after a purchase.

There’s one more reason to keep bulk sends out of Gmail. Since 2024, Gmail and Yahoo have required bulk senders to authenticate their domain and offer one-click unsubscribe. A proper email tool walks you through that setup. A personal inbox can’t do it at all.

The must-have features

You can skip plenty of features on day one. These are the ones you can’t skip.

Easy import and list clean-up

Most businesses start by importing a CSV of customers from their billing software, an Excel sheet or an old tool. Look for a simple import plus a way to check addresses before your first send. Email verification strips out typos and dead addresses that would otherwise bounce and damage your sender reputation.

Sign-up forms and consent

New people need a way to join: an embedded form on your site, a hosted page you can link from Instagram, or a form on your link-in-bio page. Double opt-in, where people confirm by clicking a link, is worth having, especially for lists you grow from social media. Our guide on growing an email list with social media covers the tactics.

Segments

Segments let you send the right email to the right people: new subscribers, past customers, people in one city, people who clicked last month’s offer. Look for rule-based segments (for example, "tag is wholesale AND city is Jaipur") so you aren’t maintaining separate lists by hand.

Templates that work on mobile

A large share of your readers will open your emails on a phone. Choose a tool with templates and a preview you can check at phone width, and send yourself a test before every campaign.

Automation

Even the simplest automation makes a big difference. A welcome email that goes out the moment someone subscribes reaches them when their interest is highest. Look for triggers (a new signup, a purchase, a date, inactivity), delays and simple branches. A welcome email sequence is the right first one to build.

Deliverability tools

A great email does nothing for you in the spam folder. Look for clear help setting up SPF, DKIM and DMARC records on your domain, automatic handling of bounces and complaints, and a suppression list so unsubscribed and bounced addresses are never emailed again. Our email deliverability guide explains each of these in plain English.

Reporting you’ll read

You want opens, clicks, unsubscribes and, ideally, revenue per campaign. Treat open rates as a trend rather than an exact figure, because privacy features in some email apps load images automatically and inflate opens.

Export

Your list belongs to you. Make sure you can export every contact, with their status, whenever you want.

Things Indian businesses should check

Billing in rupees

Many global tools bill only in US dollars. That means paying by international card, with conversion charges, and bills that move with the exchange rate. A tool billed in INR that accepts UPI and net banking is simpler to run. If you need GST invoices so you can claim input credit, ask about that before you buy.

How the price grows

Email tools are usually priced on the number of contacts, the number of emails sent each month, or a flat plan with limits. Work out your real usage. If you send four campaigns a month to 5,000 contacts, that’s 20,000 emails. Then work out festival season, when you might send twice as often, because Diwali, wedding season and year-end sales all push volume up. A saree shop in Surat, say, might go from four sends in August to eight or nine in October and November.

Consent and data protection

India’s Digital Personal Data Protection Act, 2023 puts clear consent, and the ability to withdraw it, at the centre of handling personal data. In practice that means emailing only people who agreed to hear from you, recording where each contact came from, making unsubscribing easy, and removing people promptly when they ask. Choose a tool that does all of this by default.

Languages

If you write to customers in Hindi, Tamil, Marathi or another language, send a test campaign in that script and check it in Gmail on an Android phone and on a laptop before you commit.

Questions to ask before you commit

  • Can I import my existing list, and is there a way to verify addresses first?
  • What exactly happens when someone unsubscribes, bounces or marks an email as spam?
  • Will you help me set up SPF, DKIM and DMARC for my domain?
  • How is pricing calculated, and what will I pay at double my current list size?
  • Can I schedule campaigns in IST?
  • Which automations are included on the plan I’m considering?
  • Can I export all my contacts and their history whenever I want?
  • Is there a free trial, and do I need a card to start it?

Red flags

  • Offers to "give you a list" or sell you contacts. Bought lists never consented, they’ll bounce, and they’ll hurt your sender reputation for months.
  • No mention of domain authentication. A tool that lets you send bulk email without setting up SPF and DKIM is steering you towards the spam folder.
  • Hidden limits. Watch for daily sending caps, contact caps that count unsubscribed people, or automations locked to expensive plans.
  • No export button. If leaving is hard, that tells you something about the company.

Standalone email tool or all-in-one platform?

If email is the only marketing you do, a dedicated email tool is a perfectly good choice. Many small businesses, though, run email alongside social media, a website form and some kind of lead tracking, and end up copying contacts between three apps every week.

An all-in-one platform keeps those pieces together. A lead who fills in a form lands in your CRM, gets a welcome email automatically, and can be included in your next campaign. Our comparison of email marketing vs social media explains why the two channels work best together.

Where Skyfliq Email fits

Skyfliq includes an Email module in every plan, alongside social media scheduling, a cloud-based CRM, forms and booking pages. It covers:

  • Campaigns with merge tags, a live preview, scheduling, and open and click stats for each recipient.
  • Contacts and segments: add or import contacts by CSV, optional double opt-in, and rule-based segments using match-all or match-any conditions.
  • Templates built with a drag-and-drop builder in your brand colour.
  • Automations triggered by a new signup, inactivity, a date, a tracked purchase or a link click, with waits, conditions and A/B splits.
  • A/B testing of subject lines and content, with the winner rolled out.
  • Deliverability tools: SPF, DKIM and DMARC checks with the DNS records to add, a suppression list grouped by reason, and email verification for pasted lists or whole segments.
  • Transactional and cold email, for receipts and one-to-one outreach sequences, if you need them.

Plans are billed monthly in rupees through Razorpay (cards, UPI and net banking), and there’s a 15-day free trial with no card required. Skyfliq doesn’t have a free plan. See pricing or the Email docs for a screen-by-screen tour.

Your first week with a new tool

  • Day 1: connect your sending domain and add the SPF, DKIM and DMARC records.
  • Day 2: import your list, verify it, and remove anyone who never agreed to hear from you.
  • Day 3: build one template with your logo and colours, and test it on your phone.
  • Day 4: set up a two-email welcome automation for new subscribers.
  • Day 5: send your first campaign to your most engaged segment rather than everyone.
  • Day 7: check bounces, unsubscribes and clicks, then plan next week’s email.

How to choose between your shortlist

For an Indian small business, the right email marketing tool makes consent and deliverability easy, grows in price in a way you can predict, bills in a way that suits you, and lets you take your list with you when you leave. Shortlist two or three. On each free trial, send a real campaign to a small, engaged slice of your list, and compare how long it took to set up, where the emails landed, and how clear the reports were. Then pick the one you’ll be happy opening every week, because a tool you avoid using won’t send any emails.

Frequently asked questions

Which email marketing tool is best for a small business in India?

It’s the one you’ll use every week that handles deliverability, consent and unsubscribes properly, bills in a way that suits you (ideally in INR, with UPI) and lets you export your list. Shortlist two or three and send a real campaign on each free trial before you decide.

Can I send bulk emails from Gmail?

It’s not a good idea. Personal Gmail accounts have sending limits, can’t manage unsubscribes properly and aren’t set up for bulk-sender authentication, so your emails are likely to end up in spam or get the account restricted.

How much does an email marketing tool cost?

Pricing is usually based on the number of contacts, the number of emails sent, or a flat plan with limits. Work out what you’d pay at double your current list size, and during festival season, when you’ll send more often.

Do I need my own domain for email marketing?

Yes, if you want good inbox placement. Send from an address on your business domain and add the SPF, DKIM and DMARC records your tool gives you. Our email deliverability guide explains how.

Is there a free email marketing tool?

Some tools have limited free tiers, which can be enough for a small list. Skyfliq doesn’t have a free plan, but you can use Email and every other tool free for 15 days with no card required.

Does Skyfliq support double opt-in?

Yes. When you add contacts you can require double opt-in, so they only receive campaigns after confirming by email. Unsubscribes, bounces and complaints go on the suppression list automatically.
